Groups & Visibility

Control team access and shared visibility for recordings.

Groups organize your workspace into teams, practice areas, or matter groups. They control who can see recordings and how the transcriber queue routes work.

Create a group

  1. Open SettingsGroups
  2. Click New group
  3. Add members
  4. Configure visibility and approval settings

Shared visibility

When Shared visibility is enabled for a group:

  • Members can view recordings assigned to that group by other members
  • Viewing is read-only — members cannot edit or delete another author's recording
  • Only the recording author (or a workspace admin) can edit or delete

Assign a recording to a group from the editor header.

Transcriber routing

Groups determine which transcribers see queue items. Send recordings to the queue within a group so the right transcribers can claim them.

Approval workflow

Groups can require approval when transcribers complete work:

  • Transcriber marks complete → status becomes Review pending
  • Author (or designated approver) reviews and approves
  • Admins configure timeout and approval rules per group
