Permissions & Roles

Manage workspace roles and permission keys in Ardela.

Ardela uses role-based permissions to control what each team member can do. Workspace owners and admins configure roles under Settings → Permissions.

Built-in roles

RoleTypical access
OwnerFull workspace control including billing and deletion
AdminFull workspace access, settings, and member management
MemberCreate and manage own recordings; view group-shared recordings
TranscriberWork from the queue on assigned items

Owners and admins bypass most visibility restrictions and can recover stuck recordings.

Custom roles

Create custom roles with a tailored permission matrix:

  1. Open Settings → Permissions
  2. Click New role
  3. Name the role and toggle permission keys
  4. Assign the role to members under Settings → Members

Custom roles are useful for practice managers, senior associates, or read-only reviewers.

Permission keys

Permissions are grouped by feature — recordings, Clara, queue, clients, pillars, workflows, reports, settings, and more. Each key grants a specific action (create, read, update, delete, or manage).

The permission matrix shows all keys for each role. Changes take effect on next session (cached permissions refresh within an hour).

Transcriber role

Transcribers have a fixed permission set and cannot be customized. They work from the Queue and typically cannot create new recordings unless also granted member permissions.
